Vendor Camping at the Virginia Fantasy Festival

To support the merchants and artisans who help bring the Virginia Fantasy Festival to life, limited on-site camping is available exclusively for approved vendors and event support staff.

Vendor camping allows merchants and support staff to stay close to their booths throughout the festival weekend and fully participate in the immersive fantasy marketplace experience.

Please note: Camping is not available to general attendees. All camping spaces are reserved for registered vendors and their approved staff.

Tent Camping

Tent camping is available for vendors who wish to stay overnight on the festival grounds.

Tent camping is priced per person, as all campers will have access to shared shower facilities on the property.

This option offers a simple and convenient way for vendors to stay on-site throughout the festival weekend.

Tent Pricing

$25 per person per night
$35 per person per weekend
$65 per person per week

Important Notes
Includes access to restroom trailer with private, climate-controlled showers and bathrooms (including ADA accessible unit). No extension cords allowed to tents.

RV Camping

RV spaces are available for vendors traveling with RVs or camper vans.

Please note:

  • Shore power hookups are available
  • RV spaces are for parking and camping only
  • Space is limited

RV camping allows vendors to bring their own accommodations while remaining close to the marketplace and festival grounds.

RV Pricing

$100 flat rate per week with electric hookup

Important Notes
No water hookups available (tank service available at vendor expense). No dumping of any kind (sewage, black/grey water, etc.) Photo ID required for all campers.

Camper Rentals

Two on-site camper units are available for vendors who prefer a ready-to-use camping option.

These campers provide a convenient option for vendors who prefer not to transport their own camping equipment.

Terry Camper (sleeps 4–6): $1,000 per week flat rate
Springdale Camper (sleeps 2–4): $1,000 per week flat rate

On-Site Rooms

A small number of indoor lodging rooms are also available on the property.

Vendor Camping Amenities

All registered vendor campers will have access to:

Staying on-site allows vendors to fully participate in the weekend and simplifies load-in, setup, and daily operations.

Important Camping Notes

  • Camping is restricted to approved vendors and event support staff only
  • All campers must be registered in advance
  • Camping spaces are very limited and may sell out quickly
  • Please respect the festival grounds and fellow vendors

Quiet Hours & Camp Etiquette

To ensure that everyone staying on the property has a comfortable and enjoyable weekend, all vendors and their staff are expected to follow basic campground courtesy while using the festival camping areas.

Quiet Hours

Quiet hours will be observed each night from 9 PM to 7 AM EST, to allow vendors and staff time to rest before the next day of the festival.

During quiet hours, please keep:

  • Music and amplified sound to a minimum
  • Voices and conversations at a respectful level
  • Generators and loud equipment limited when possible

Campground Courtesy

All vendor campers are asked to:

  • Keep camping areas clean and dispose of trash properly
  • Trash must be dumped in a dumpster, not beside
  • Respect neighboring camps and personal space
  • Follow all property guidelines provided by festival staff
  • Keep walkways and access paths clear
  • Be mindful of fire safety and any posted restrictions
  • Overnight vehicles must be registered info@ make/model/year of car and state and tag number
  • Overnight guests are allowed, must register by Thursday 5 pm
  • All pets must be leashed at all times and owners are responsible for cleaning up after their pets

Our goal is to create a camping environment that is welcoming, respectful, and supportive of the hardworking vendors who make the Virginia Fantasy Festival possible.

Festival staff reserve the right to address any camping concerns to ensure a safe and comfortable environment for everyone staying on the property.

Arrival, Load-In, and Camping Check-In

To help ensure a smooth setup process for everyone, all vendors staying on-site must follow the festival’s arrival and check-in procedures. These procedures help keep the grounds organized and allow all vendors to get set up quickly and safely before the festival begins.

Arrival Times

Vendor camping areas will open during the designated vendor load-in period. Vendors and event support staff may load in as early as April 18th, 2026. Vendors should plan to arrive during scheduled times so staff can properly direct vehicles and camping placements.

Specific load-in schedules and arrival windows will be provided to approved vendors prior to the festival.

Camping Check-In

All vendors planning to camp on the property must check in with festival staff upon arrival.

During check-in, vendors will:

  • Confirm their camping reservation
  • Receive directions to their assigned camping area
  • Review any final camping guidelines or updates

Load-In and Parking

To keep pathways clear and ensure a safe setup environment:

  • Vehicles should only remain in vendor areas long enough to unload equipment
  • After unloading, vehicles should be moved to the appropriate parking or camping area as directed by staff
  • Please follow all directions from festival staff when positioning RVs, campers, or tents

Vendor camping must be reserved when completing vendor arrangements for the Virginia Fantasy Festival.
